TERMS AND CONDITIONS

These Terms and Conditions govern participation in activities, events, rides, coaching sessions, volunteer opportunities, programmes and services provided by Community Ride Project CIC (“CRP”, “we”, “us”, “our”).

By booking, registering, volunteering, donating, attending an event or using our website, you agree to these Terms and Conditions.

1. BOOKINGS, CONTRIBUTIONS AND REFUNDS

Many of our activities are fully funded, subsidised or offered in exchange for a small contribution.

All bookings are subject to availability.

Where a booking contribution or participation fee is required:

  • Payments must be made in full at the time of booking.
  • Booking contributions are generally non-refundable.
  • Refunds will only be considered where required by law or at our sole discretion (minus any transaction fees).
  • If Community Ride Project CIC cancels an event, participants may be offered a transfer to another event or a refund of any contribution paid.

Unused places, missed sessions or early departures are not eligible for refunds.

2. CANCELLATIONS BY PARTICIPANTS

If you cannot attend an event, you must notify us as soon as possible by emailing:

Many of our events have limited spaces and waiting lists.

Failure to attend without notice may result in restrictions on future bookings.

Repeated no-shows may lead to future bookings being declined.

3. EVENT CANCELLATIONS

We reserve the right to cancel, postpone, modify or relocate any event due to:

  • Severe weather
  • Safety concerns
  • Insufficient participant numbers
  • Staff or volunteer availability
  • Venue restrictions
  • Circumstances beyond our reasonable control

We will endeavour to provide as much notice as possible.

4. PARTICIPANT RESPONSIBILITY

Participants are responsible for ensuring they:

  • Are medically fit to participate.
  • Possess the necessary ability for the activity.
  • Follow all instructions provided by ride leaders, volunteers and staff.
  • Ride or participate responsibly.
  • Treat others with respect.

Participation is entirely voluntary.

5. ASSUMPTION OF RISK

Cycling and outdoor activities involve inherent risks including but not limited to:

  • Falls
  • Collisions
  • Equipment failure
  • Uneven terrain
  • Changing weather conditions
  • Contact with other participants, vehicles or members of the public

By participating, you acknowledge and accept these risks.

6. SAFETY EQUIPMENT

Participants must use suitable equipment appropriate to the activity.

For cycling activities:

  • A correctly fitted helmet is mandatory.
  • Bikes must be safe and roadworthy.
  • Suitable clothing and footwear must be worn.

We reserve the right to refuse participation where equipment is considered unsafe.

No refund will be provided.

7. CHILDREN AND YOUNG PEOPLE

Anyone under 18 must have permission from a parent or legal guardian.

Parents or guardians remain responsible for the welfare and conduct of their child unless otherwise stated in writing.

We reserve the right to require parents or guardians to remain nearby during activities.

8. SAFEGUARDING

Community Ride Project CIC is committed to safeguarding children, young people and vulnerable adults.

Any safeguarding concerns should be reported immediately to a member of our team.

We reserve the right to remove any participant where safeguarding concerns arise.

9. CODE OF CONDUCT

Participants must:

  • Behave respectfully.
  • Follow instructions.
  • Avoid abusive, threatening or discriminatory behaviour.
  • Respect the environment and local communities.
  • Respect other participants, volunteers and staff.

We operate a zero-tolerance approach to bullying, harassment, discrimination and abusive behaviour.

Participants may be removed immediately without refund.

10. HEALTH AND MEDICAL CONDITIONS

Participants are responsible for informing us of any medical condition that may affect safe participation.

Emergency medication remains the responsibility of the participant or parent/guardian.

Participants must ensure they are physically capable of taking part.

11. PHOTOGRAPHY AND MEDIA

Photographs and video may be taken during activities for:

  • Marketing
  • Promotion
  • Funding reports
  • Social media
  • Website content

By participating, you consent to such use unless you inform us otherwise before the event.

Parents or guardians may opt their child out of photography.

12. DATA PROTECTION AND PRIVACY

We process personal data in accordance with applicable UK data protection legislation, including:

  • UK GDPR
  • Data Protection Act 2018

Information is only collected where necessary to administer our activities and services.

13. VOLUNTEERS

Volunteers participate at their own risk.

Certain volunteer roles may require:

  • Training
  • Induction
  • References
  • DBS checks
  • Safety PPE

Volunteers must follow all instructions, policies and safety procedures.

14. DONATIONS

All donations made to Community Ride Project CIC are voluntary.

Unless required by law, donations are non-refundable.

Donations support the delivery of our community objectives and projects.

15. INTELLECTUAL PROPERTY

All website content, branding, logos, graphics, photographs and materials remain the property of Community Ride Project CIC unless otherwise stated.

Content may not be copied, reproduced or distributed without written permission.

16. LIMITATION OF LIABILITY

Nothing within these Terms excludes liability where exclusion is prohibited by law.

Subject to this:

  • Participation is undertaken at the participant’s own risk.
  • We shall not be liable for loss or damage to personal property.
  • We shall not be liable for indirect or consequential losses.

Our total liability shall be limited to the amount paid by the participant, where applicable.

17. WEBSITE USE

Users agree not to:

  • Misuse the website.
  • Upload malicious content.
  • Attempt unauthorised access.
  • Interfere with website operation.

We reserve the right to restrict access where misuse occurs.

18. CHANGES TO THESE TERMS

We reserve the right to amend these Terms and Conditions at any time.

The latest version will always be available on our website.

19. GOVERNING LAW

These Terms and Conditions are governed by the laws of England and Wales.

Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
